Cutting rent arrears: 7 levers for your agency

Arrears are almost never a problem of bad payers. In most agencies they are late reminders, payments recorded badly, and balances discovered too late. The good news is that every one of those can be fixed. Here are seven levers, from the simplest to the most structural.

1. Know every morning who is late

You only chase well what you can see. An up-to-date rent ledger tells you at any moment who has paid, who is late and by how much. Without that visibility, chasing depends on one person's memory, and that is the first leak to plug.

2. Chase early, and on the right channel

A tenant chased on the 3rd of the month pays faster than one chased on the 20th. The reminder should go out automatically, on the channel they actually read: in Cameroon, Ivory Coast or Senegal that is often WhatsApp before email. The point is not to harass, it is to be regular and courteous.

3. Give a receipt for every payment

A PDF receipt sent the moment the money arrives does two things: it reassures the tenant, and it closes the argument about what has already been paid. A clean file is a file you recover better.

4. Track advances and overpayments

A tenant who has paid two months in advance must not be chased the following month. If advances are not tracked to the last franc, you chase people who are up to date and lose their goodwill. Tenant credit prevents those embarrassing mistakes.

5. Separate the kinds of lateness

Not all lateness is equal: a recurring one-day delay is not a three-month arrear. Deal first with the files that weigh most, rather than calling everyone the same way.

6. Measure the collection rate

"We collected a lot this month" means nothing. The indicator that counts is the collection rate: collected divided by due. Tracked month after month, it turns an impression into management.

7. Give your staff ownership

When each property manager can see their own collection rate, the dynamic changes. An internal leaderboard, even an informal one, creates healthy competition: recovery becomes everyone's business, not just accounts.
